Your Phones Answered. Your Jobs Prioritized.

Answering every call is half the job. The other half is what happens when you finally get a break and look at your phone: which of these do I deal with first?

Most answering solutions stop at "here are your messages." EazyAgent qualifies every caller and ranks each opportunity by urgency and revenue risk — so your callback list arrives already sorted, with the job that can't wait sitting at the top.

    What your list looks like

Illustrative example — sample data, not real customers.

    RED · URGENTCall back now

Burst pipe — water actively flowing

    Maple St · 12:22pm

Water's coming through the kitchen ceiling, we shut the main but it's bad.

Homeowner, needs someone today. Est. job type: emergency repair.

    ORANGE · TIME-SENSITIVECall back today

Water heater replacement quote — closing date

    Oakview Cres · 11:48am

We sell the house in two weeks, inspector flagged the tank.

    Wants a quote this week.

    GREEN · STANDARDSchedule when free

    Faucet replacement inquiry

    10:15am

    Asked about availability next week.

    No deadline mentioned.

GRAY · LOWWhen you get to it

    Price question

    9:52am

Asked "roughly what do you charge for a drain cleaning?"

    No job details given.

Same four calls, zero guesswork. The $2,000 emergency doesn't wait behind the price check because it happened to ring later.

    How it works

    1. Every call gets answered and qualified.

Your AI receptionist answers 24/7 in your business name and has a real conversation: who's calling, where they are, what the job is, and the qualifying questions you chose.

    2. Every opportunity gets ranked.

Each call is flagged by urgency and revenue risk using rules you set in plain language on your setup call — "anything with active water is urgent, always" / "anything mentioning a closing date goes high." An emergency at a big job outranks a price check, no matter the order they called in.

    3. You get a clear "call this one back first" signal.

The sorted list is texted to you as calls come in — caller, number, job details, urgency flag, and the caller's own words. Truly urgent calls can also be transferred to you live so you're on the phone with the customer while it still matters, and every SMS includes a tap-to-call-back link that connects you to the lead through your EazyAgent number. You call back the burst pipe while it's still your job to win.

More on how those two pieces work: live call transfer for truly urgent callers and instant lead alerts with a tap-to-call-back link.

Why this matters more than answering alone

A missed call costs you a lead. A mis-ordered callback list costs you your biggest lead — because the most valuable calls (emergencies, deadline quotes) are exactly the ones that go to a competitor fastest. Prioritization protects the revenue that answering captured. That's why our tagline has two halves: Phones Answered. Jobs Prioritized.

The research on callback speed is blunt. The Lead Response Management Study found the odds of qualifying a lead drop 21-fold between a 5-minute response and a 30-minute response, and a Harvard Business Review audit of 2,241 companies found firms responding within an hour were about seven times as likely to qualify the lead as those that waited longer. You can't call everyone back in five minutes — which is exactly why the order matters. Prioritization spends your fastest response on the lead where speed pays most. We break down both studies here →

And to be clear about what this tool is: it doesn't replace whoever answers your phones today — it hands them a sorted list instead of a scribbled one. The judgment calls, the relationships, the actual callbacks stay human. Prioritization just makes sure that human time lands where it's worth the most.

How to prioritize calls when several come in at once

Whether you automate it or not, prioritizing calls comes down to four steps:

    1. Capture every call somewhere. You can't prioritize what never got logged. Every caller needs a name, a number, and one sentence on what they wanted — voicemail transcripts, a notebook, or an answering service all beat memory.
    2. Rank by cost of delay, not by call order. The question is never "who called first?" — it's "which of these gets more expensive the longer I wait?" Active damage and emergencies outrank deadlines, deadlines outrank standard bookings, and bare price questions come last.
    3. Give each tier a callback window. Emergencies get minutes, time-sensitive jobs get the same day, standard work gets 24 hours. A tier without a deadline quietly becomes "whenever," and "whenever" is where jobs go to die.
    4. Automate once volume outgrows the notebook. The manual system works at five calls a day. At twenty, triage itself becomes a job — which is the point where ranking every call automatically stops being a luxury.

Call prioritization for business lines: what gets ranked and why

On a business line, lead prioritization is two judgments multiplied together: how urgent the caller's problem is, and how much revenue is attached to it. A burst pipe at a commercial property is urgent and big; a drain-cleaning price check is neither. EazyAgent makes both judgments on every call, using rules you set in plain language — no scoring spreadsheet to maintain, no CRM fields to fill in.

Prioritization earns its keep fastest when call volume spikes past what you can answer — the days when the list is longest are exactly the days the order matters most. If that's your bottleneck, pair it with overflow call answering so the surge gets captured before it gets ranked.

    Screening calls vs. prioritizing them

They sound similar and get confused constantly, but they answer different questions. Screening asks: should this call reach you at all? It filters spam, robocalls, and solicitors out before they cost you a minute — that job lives on our call screening and spam filtering page. Prioritizing asks: of the real calls that got through, which one do you return first?

A receptionist screening calls without ranking them hands you a clean but unordered pile. Ranking without screening puts a robocall in your callback queue. EazyAgent does both on every call — junk filtered out, real opportunities sorted by what they're worth.

    Included, not an add-on

Call prioritization is part of every EazyAgent subscription — $89/month, answering included, prioritization included. Set up on one phone call, live in about 15 minutes, and you keep your existing number.

Every call answered. Every callback sorted.
